Account settings

To open your account settings, click the three dots menu on the right side of the top bar.

Definitions

  1. User – A person having the unique identifier (login) in Process Intelligence.
  2. Account – A representation of the organization, company, or just a group of users. Each user belongs to one and only one account.
  3. Account owner – A user who has full control over the account. By default, the same person is manager and payer however he could assign other users to that role.
  4. Account manager – A user with the privileges to control (add, remove, suspend, resume) other users related to the account and the related projects.
  5. Account payer – A user who configures the payments related to the account.

Account

An account becomes the key point of user and money management, and includes:

  • Owner – A user who fully controls this account.
  • Payer – A user who has access to the payment information including payment method, plan selection, etc.
  • Manager – A user who controls other users on this account.
  • List of users who are controlled by and paid by this account.
  • List of projects consists of the projects owned by account users.
  • Current product (subscription).
  • Payment method.
  • Current balance, charges and payments history.

Users and accounts

Any user always belongs to an account. When a user registers at the site (contrary to be invited), he gets his own account. There several ways a user joins an existing account:

  • The account manager adds the user to the account the same way a user shares the project – by specifying the user’s email address. Once the user joins the system, he is immediately linked to the account.
  • A manager could invite a user who’s already in the system. In such case, every time when the user logs in, an alert pops up: "You have been invited to join the account XYZ". The panel allows the user to join the account or select to remain an independent account.

A user could also leave the organizational account (defined as an account for which the user is not an owner) and get their own account. In such case, as with new registration, a user is his own account manager and payer.

Inviting new users to the application becomes the exclusive function of a manager. Project owners, unless they are also account managers, could only add the existing users to the project.

Owners

Initially the owner is the person who created the account. However, then the owner could transfer it to another user explicitly. Changing the owner doesn’t change the account manager and payer.

Since the change of owner is a non-reversible operation, once the user clicks the Change Owner option, the panel pops up asking to select the new owner email from the list of account users.

Account details

This section contains information about the current state of your account and some general settings.

You can change the account name, transfer ownership if you are the account owner, limit an account session, and set domain access restrictions as an additional security measure. You can also find the number of users, projects, and events existing in the account, along with the uploaded data volume. The expiration date of your subscription or license is also displayed here.

Make sure to click Save after you made any changes.

If you have exceeded some limitations imposed by your subscription or license, a Subscription violations text will appear in this section along with pop-up notifications. It is represented by a list of violated subscription limits, displaying the current number of entities compared to the allowed one.

Users

This section shows a list of users who are controlled by and paid by this account. The list displays in a table including user IDs (represented by their email addresses), their roles, the date of joining the account, the last login, and the number of shared and owned projects. Account Owners and Admins can manage users using the following options:

Add users

You can invite new users to join the account via email.

Click Add users and enter one or more comma-separated email addresses, then click Invite. Invitation emails will be sent to the specified addresses, and the users will appear in the list with the Invited status. The recipients will need to log into Process Intelligence using the link in the email and confirm the invitation in the Profile section of the interface. After that, their status in the list will change to Active.

Export

Export the current list of users as a CSV file. The export starts immediately after clicking this button.

Promote to admin

Move the user's membership level to the higher Admin role. Select a user in the list and click this button for promotion. The selected user will be immediately granted admin rights. To undo this action, click ×admin in the Role column of the user list.

Suspend users

Temporarily revoke the account access from selected users. Select a user in the list and click this button for a temporary block. The users will be kept in the list with the Suspended status. They will not be able to log into Process Intelligence until you activate them again.

Activate users

Allow suspended account members to access the account again. Select a suspended user in the list and click this button to remove the temporary block. Activated users will be allowed to log into Process Intelligence.

Delete

Permanently delete selected users from Process Intelligence. Select a user in the list and click this button for complete removal from the program. Deleted users will have to register again to access Process Intelligence.

Revoke the selected users' account membership. Select a user in the list and click this button for removal from your account. Excluded users will not be able to access your account, but they can continue to use the application within their own account.

Users that own projects and/or repositories cannot be excluded.

Some of the actions can result in certain statuses displayed in the corresponding column of the users list. Possible statuses are described in the table below.

Delete and Exclude actions remove user entries from the list, so they do not have any related statuses.

Status

Description

Active The status is displayed when users receive and confirm an account invitation.
Invited The status is displayed when you add users to your account they appear in the list with this status. It will be displayed until the users log into Process Intelligence using the link in the email and confirm the invitation in the Profile section of the interface.
Invited-verified The status is displayed when a user without a Process Intelligence account received an invitation email, clicked Register, but did not finish the registration process.
Suspended The status is displayed when you choose to suspend some users to temporarily revoke the account access from them, they get this status.

Projects

This section contains a list of projects owned by account users, displayed in a table containing project name, owner ID (email address), numbers of events, timelines, and users, as well as the dates of project creation, last upload, and last project details update. Account Owners and Admins can manage projects using the following optons:

Export

Export the current list of projects as a CSV file. The export starts immediately after clicking Export.

Remove

Permanently delete selected projects from the account. Select a project from the list and click Remove. You will need to confirm the removal in the window that displays.

Subscription

The subscription (or license if you are using the On-premises solution) regulates how many users you can add to your account(s), how many projects these users can have, and how many events and timelines the projects can contain. These parameters are fully controlled by the subscription or license, account owners cannot alter them without changing the subscription or license.

If some limits are exceeded, they will be highlighted in red in this list. Exceeded limits may affect some processes, for example, surpassing the allowed number of timelines or events prevents the next data upload.

The following details are displayed:

  • Status –Shows if your subscription is active or inactive.
  • End date – The expiration date of your subscription.
  • Plan –The name of the license plan you have (Trial, Enterprise, etc.)
  • Number of users (current / max) –Current number of users in the account compared to the maximum allowed by your subscription.
  • Number of events (current / max) – Current number of events in the projects belonging to the account compared to the maximum allowed by your subscription.
  • Number of timelines (current / max) – Current number of timelines in the projects belonging to the account compared to the maximum allowed by your subscription.
  • Number of projects –Current number of projects belonging to the account compared to the maximum allowed by your subscription.
  • Number of active projects (current / max) –Current number of projects that have uploaded data compared to the maximum allowed by your subscription.
  • Unique id – An identifier of your subscription or license that can help to track it, for example, in communications with support.

OAuth

You can also set up access to your Process Intelligence account for external clients in the OAuth tab of the Account section. For more information, see Use OAuth to access Process Intelligence.

Account notifications

Process Intelligence may send you automatically generated email notifications to confirm your registration, to report errors, or to inform you about important system events.

The user with the Account owner or Admin rights can set the notifications settings, and every account member will receive these notifications.

All such notifications will be generated from a standard template and may contain buttons or links enabling you to quickly navigate to the relevant Process Intelligence page.

Mailings, account

Process Intelligence will notify users about events related to their Process Intelligence account, such as registration or change of password.

Activate your Process Intelligence account

When you register with Process Intelligence, you will receive an email message asking you to confirm your email address. You need to confirm your email address before you can log in to your Process Intelligence account. Please click the Verify button in the email message to complete the registration process and activate your account.

Process Intelligence Account Created

This email notification tells you that your account is ready for use. Please click Set your password to start working with Process Intelligence.

Account Invitation

An owner or administrator may invite you to join an account. Please click Sign in (or Register if you do not have a Process Intelligence account yet) in the email message to accept the invitation and start using Timeline.

If you have any questions about accessing Process Intelligence through a corporate account, including access to projects or repositories, please contact your inviting administrator

SAML (SSO) login invitation

If your organization uses the Single Sign-On (SSO) authentication method, you will receive an email invitation to join your organization's corporate Process Intelligence account. Please click Sign in (or Register if you do not have a Process Intelligence account yet) to log in to your organization's Process Intelligence account without entering a password.

Account notification – Registration Attempt

This email notification is sent to any user whose email address has been used to register for a Process Intelligence account.

If you do not remember your password, please click the password reset link in the email message.

If you have not attempted to register with Process Intelligence, simply ignore this message.

Your password expires...

If Account owner or Admin set a limited lifetime for your Process Intelligence password, you may receive one of the following notifications:

  • Your password expires in X days – This notification is sent a few days before your password expires.
  • Your password expires today – This notification is sent on the day your password expires.
  • Your password expired – This notification is sent after your password has expired. You will need to change your password to be able to log in to Process Intelligence.

In a password expiration notification, please click the Sign in button to open your account and change your password.

Password Reset

If you forget your password and click Forgot your password? when attempting to log in, you will receive an email message asking you to reset your password. Please click the Reset Password button in the email message to open a page where you can reset your password.

Process Intelligence password changed

Process Intelligence will send you this notification after you change your password. Please click the Sign in button to log in with your new password.

Mailings, Subscription

Process Intelligence will notify you if your subscription is about to expire or has expired.

If your subscription is about to expire

If your subscription (either paid or trial) is about to end, you will receive an email notification with one of the following in the subject line:

  • Subscription (trial) expires – This notification is sent a few days before the expiration of your current subscription.
  • Your (trial) subscription ends today – This notification is sent on the expiration day.

After your trial period ends, your Process Intelligence account will be suspended. Your project and repository data will be stored for up to 30 days and you will need to renew your subscription to continue working with your data.

If your subscription has expired

If your subscription expires, you will receive an email notification with one of the following in the subject line:

  • Your trial subscription expired – This notification is sent for trial subscriptions.
  • Your subscription expired – This notification is sent for paid subscriptions.

If you receive one of the above notifications, you will no longer be able to log in to your Process Intelligence account. You will need to renew your subscription within the next 30 days to be able to access your account and continue working with your data. To do this, please contact your account administrator or Blue Prism Support.

Your Process Intelligence account has been suspended

Thirty days after the expiration of your subscription, you will receive an email notification informing you that your data has been deleted. Should you have any questions or concerns, please contact your account administrator or submit a request to the technical support service on this page.
